Academic Processes

Yoobee has a range of processes for dealing with situations that may affect the student’s academic assessments. We are aware that often things happen that are out of a student’s control and have the following processes for dealing with these situations.  

The following is also outlined in the Yoobee Online Student Orientation and Yoobee Student Handbook, so all students should be aware of their options.

The Special Consideration guide is a guide to help students understand the criteria when applying for consideration for a fourth attempt, when circumstances beyond their control affect an assessment. If they decide it does, they then must fill in the Special Consideration student application form. 

Please note:  

  • Students receive this information in the Yoobee Online Student Orientation but may check with their tutor or Learning Support on the process, so it is especially important that Yoobee staff have thorough knowledge of this process. 
  • Students do not need to check with a staff member (tutor, Learning Support) before applying for a fourth attempt but are certainly encouraged to seek guidance and support from staff.  
  • If students are aware of an extenuating circumstance that is affecting or will affect an assessment, they must apply using the Special Consideration student application form as soon as possible. This is not the process for if the assessment is in the 1st, 2nd or 3rd attempt status. Students use the Assessment Extension for instead.
  • Yoobee staff must not suggest that a student is eligible for a fourth attempt. The student must apply for this using the guide and form.

 

The below process must be followed: 

  1. Student accesses the Special Consideration guide and Special Consideration student application form through the link in their Orientation module in Yoobee Online. 

  2. As per instructions on the Special Consideration student application form, the completed form is emailed by the student to the Board of Studies (headed by the Faculty Team Leader).  

  3. Faculty Team Leader gathers more information about the situation (if needed) from the tutor, Learning Support etc. 

  4. Faculty Team Leader decides on the outcome of the application and communicates this to the tutor and the student.  

  5. The Tutor finalises any amended information / deadlines in SELMA and the normal assessment process is followed.

Resubmissions 

For each summative assessment all Yoobee students have the opportunity for TWO resubmissions. 

For resubmissions: After marking, students are given feedback to help them adjust and finish their assessments for the next submission. They are also provided with a new due date for this resubmission.  

Students may need clarification on this feedback, therefore  a one-on-one meeting may be set up to discuss this feedback by the student. Our aim is to support our students to do their absolute best so that they can achieve their goals.

Important information:  

  • If a student has not finished their assessment on time and there are not extenuating circumstances for an extension, we advise them to submit what they have done so far and apply the feedback to their next attempt (carry on working on the assessment but do not submit it until they receive the tutor feedback).  
  • It is important to be aware that if they do not submit any material within the deadline, this ‘No submission’ is considered as their first submission.  
  • If they then submit their assessment late (after the first deadline), this late submission is therefore considered as their second submission.  
  • This means that if they fail this late submission, they only have one resubmission left. 
  • Due to this process, we encourage the student to read the Extension Request - Student guide carefully and decide on application or not. And we encourage students to submit whatever they have done on the due date.

If a student is not satisfied with their grade for an assessment, they may appeal this decision by submitting an Assessment Appeal Request Form found here. The Yoobee Student Handbook also outlines this process for the students.

Assessment Extension guide and application form

The Extension guide is a guide to help students understand the criteria when applying for consideration for an extension to their assessment, when circumstances beyond their control affect an assessment. If they decide it does, they then must fill in the Extension form.  These situations may be one of the following, where the circumstances affected their ability to:

  • attempt an assessment, or
  • prepare normally for an assessment, or
  • perform successfully during an assessment, or
  • complete an assessment on or by the due date.

Please note:  

  • Students receive this information in the Yoobee Online Student Orientation but may check with their tutor or Learning Support on the process, so it is especially important that Yoobee staff have thorough knowledge of this process. 
  • Students do not need to check with a staff member (tutor, Learning Support) before applying for an assessment extension but are certainly encouraged to seek guidance and support from staff.  
  • If students are aware of an extenuating circumstance that is affecting or will affect an assessment, they must apply using the Extension application form as soon as possible, preferably no later than 2 days before the due date.  
  • Where an assessment is late or missed due to an unanticipated circumstance, students must communicate with their tutor as soon as possible and use the Extension application form. Yoobee may, at their discretion, retrospectively approve this request. 
  • Yoobee staff must not suggest that a student is eligible for an extension. The student must apply for this using the guide and form before applying.
  • The application goes to the tutor, who reviews the request and evidence attached to make a decision on the request. Follow the Step_to_ documentation carefully.
