This Org Chart puts the students at the centre of operations, because without them we are a very empty campus. Surrounding the students are the immediate people: Tutors who work with Online Learning Support and Academic Administrator. Supporting the campus is also the Campus Administrator. The Team Leaders support the tutors but also work with the Online Learning Support and Academic Administrator. Overseeing the team is the Campus Manager.

At at a day/time set by the Campus Manager / Team Leader. To discuss any immediately relevant class/general campus issues, latest information etc. 

2. Monthly (if needed):

At at a day/time set by the Campus Manager / Team Leader. To discuss any general campus issues, latest information etc. Anything pertaining to the whole campus.

Online Campus has a MS Team where all the administration, template and core intake documents and material are kept.

Think of it as the Campus office where everyone will visit and use. It is not your individual office, so please only do the following: 

  • Work within the MS Team. Keep edits of documents in the Team.  
  • Save the documents that we all need in the office. There is no need to save your documents as you have your own “office” computer for that. 
  • Name the documents clearly and in line with previous documentation. If in doubt, assume it’s like documentation from other areas i.e. Prog short name (course name), intake code (YearMonth), FT/PT name of document 
  • Stay within this MS Team. There is no need to create a new team. 
  • Remember this is a Yoobee staff facing team, no student is enrolled into this one. 
  • Archive documents rather than delete them.  
  • Questions, problems, issues – talk to the Campus Manager or Team Leader 

 

If you are not already in the ONLINE CAMPUS - STAFF ONLY team, ask the Team Leader to join you.

The Programme Guide is a document that contains important information for our Online students. It has their tutor's name, contact, all important dates as well as details about each course. Students will need to refer back to this document throughout their programme of study.

Each tutor needs to fill out the Programme Guide template before the start date of each cohort (See Section: 2.2.1), follow the instructions below:

1. Gather all assessment due dates from your Faculty Leader.

2. Double check all Yoobee breaks, semester dates, public holidays and assessment due dates.

3. Input this information into the 'live' fields of your Programme Outline. Found in the relevant programme folder in the Online Campus MS Team

4. Following the instructions in the Programme Guide template, when complete, Save As a pdf (ensure you are not saving over the template) and upload to your cohort's forum within the first few days of a new programme. This can also be emailed to the class.

The Course Guide is a document the gives the students more information around the course they are starting on. Not only the due dates but the sections that might be sticky and problematic for students and the areas that students enjoy (based on your experience). It also has a section where you write what you enjoy about the course. This is a moment that creates connection between the student and you, so they see that you are a real person, not a body behind the Yoobee Online platform.

Yoobee regularly surveys our students to gain feedback on their experience with us. This is valuable information to help us improve what we do and better meet the needs of our students.  

 

There are two regular student surveys that run:  

  1. The Welcome survey 
  2. The Main survey 
     

The Welcome survey is conducted within the first 2 weeks of a programme. It is to gauge a student’s experience with enrolling, information received prior to starting, Orientation and working in the Yoobee Online and is measured in how satisfied the student is with their study.  

The Main survey is conducted around every 3 months (Q1, Q2, Q3, Q4). This survey gauges how a student is enjoying their learning experience, if they are satisfied by their learning to date and their experience with Yoobee Online and the wider Yoobee team.  

The timings and links to the survey are managed by the Quality team. The link will be distributed to the students via the tutor.  
 

During the survey 

Yoobee conducts student surveys in a genuine effort to gather feedback, to then improve the student experience. The more students that participate in the survey, the more accurate information we get. Tutors are expected to encourage all students in their classes to complete the survey in the time allocated. (the survey link is usually open for a week). 

Our aim is for at least a 80% participation rate. 

 

Results 

A summary of results is collated by the Quality team and shared to relevant people.   

Your Team Leader will share and discuss these results with you. Any concerns or issues that have been highlighted will be addressed and a plan put in place to remedy. 

Any points that are actionable will be used for self-assessment projects in the process outlined below.
